Greenleaf Friends Academy is a private Christian school serving students in preschool through twelfth grade. Founded in 1908, the Academy is dedicated to the task of providing distinctly Christian education for its students. The Christian worldview controls all areas of the school. Sponsored by the Friends Church, GFA is accredited by the State of Idaho through AdvancEd, and is a member of Idaho High School Activities Association.

Business Manager/Bookkeeper

Position reports to the School Board.

Minimum requirements:

  • Accounting Degree or equivalent experience
  • Mastery of Quickbooks or similar accounting software
  • Must possess exemplary character qualities in the area of honesty and integrity

This position will be compensated with a financial package that includes a familial tuition waiver of up to 60% (if applicable) and health insurance. Salary will be determined on a case-by-case basis.

Job Description

Fiduciary and reporting responsibilities:  This position is responsible for processing all Academy money that comes in and goes out of the school (deposits and disbursements).  Accounts involved include the general fund and lunch funds, restricted purpose (student, teacher, grant monies, athletic) fund accounts, and Endowment fund accounts.  Reconcile all bank accounts on a monthly basis.

Establish the general budget with the administrators and school board.  Monitor budget progress and manage cash flow.  Advise board/administrators of general budget and cash flow status.  Advise board/Administrators of status of other monetary accounts such as lunch, athletics, restricted purpose special funds, and endowment.  Prepare monthly financial reports for internal use.  Work with independent auditors concerning audits/report compilations.  Attend monthly board and finance advisory committee meetings.  Attend endowment committee meetings when appropriate.

A/R:  Process Accounts Receivable by creating written financial contracts and posting the tuition invoices that result from this process.  Process monthly billing packages and post tuition payments.  Call/write letters to delinquent payers.  Refer severely past due accounts to the Administrator.  Manage the Financial Aid application process.

A/P:  Process Accounts Payable by posting vendor bills and generating payment for those bills.  Obtain confirmation of approval from the Administrator when appropriate.  File all paid bills, and perform research when necessary.  Process Idaho sales tax report and remit payment monthly.

Payroll and Human Resource Management:  Process monthly payroll.  Remit payment for taxes to the federal and state governments and insurance companies.  Submit quarterly 941 reports.  Process year-end W-2 and 1099 forms.  Facilitate worker’s compensation claims and file proper paperwork when necessary.  File annual form 5500 on the 403 (b) retirement plan.  File the annual nondiscrimination certification with the federal government.  Obtain W-4 and I-9 documents from new employees and submit information for background checks.  Advise new employees about the health and life insurance and 403 (b) retirement plan offered by the Academy.  Process the proper enrollment forms for these benefits.  Send in new hire reports to the State of Idaho.  Keep records of staff absences.

Other:    Issue online I-20 forms (for F-1 visa) for exchange students accepted by the Administrator.  Maintain Sevis system requirements.  Communicate tuition costs to exchange coordinators.
